MedStock

Pharmacy inventory & POS that works without the internet

MedStock is a fully offline inventory and point-of-sale system built for small pharmacies. It runs on a PC inside the shop—no cloud, no monthly SaaS fee for core use—and lets every counter terminal share live stock, sales, and credit balances through a web browser. From barcode checkout and batch-level expiry tracking to supplier invoices, udhaar (credit sales), and owner reports on revenue and profit, MedStock is designed for the way Pakistani pharmacies actually work.

Overview

Product overview

MedStock is a locally hosted pharmacy management system for a single shop. One computer in the pharmacy runs the application and database; every other PC (and the server PC itself) acts as a POS terminal in a normal web browser over the shop’s local network.

It is built for pharmacies that need fast daily billing that does not slow the counter, clear always-current stock and money figures for the owner, protection against expired stock and untracked credit, and English and Urdu interface labels for staff with minimal training.

Core operations do not depend on an internet connection. The shop keeps working even if the line is down.

Audience

Who it's for

  • Independent / neighborhood pharmacies
  • Small clinics with an in-house medicine counter
  • Owners who want control of data on their own machine, not only in the cloud
  • Multi-counter shops on one LAN (one shared live database)
Capabilities

Key capabilities

Point of sale

  • Fast product search by name, generic name, or barcode
  • FEFO batch picking (nearest-expiry batch suggested first)
  • Line or whole-bill discounts
  • Cash, credit (udhaar), or split payment on one bill
  • Returns against the original sale, with stock and revenue reversed correctly
  • Thermal receipt printing (ESC/POS via QZ Tray on Windows)
  • Bill totals rounded to the nearest rupee

Inventory

  • Product catalog: name, generic, manufacturer, category, pack/unit
  • Batch-level stock with expiry date and cost price
  • Expiry warnings (e.g. 30 / 60 / 90 days)
  • Low-stock / reorder alerts
  • Manual adjustments (damage, loss, correction) with reason
  • Live stock valuation at cost and at sale price
  • Fast- vs slow-moving stock visibility

Purchasing & suppliers

  • Supplier directory with contact and license details
  • Purchase invoices matching distributor paperwork: batches, expiry, qty, bonus/free qty, rate, discount, tax
  • Effective cost per unit that accounts for bonus stock
  • Automatic stock and valuation update on receive
  • Supplier payables and overdue invoice tracking

Customers & credit (udhaar)

  • Credit customers with running balances
  • Outstanding credit reports separate from cash collected
  • Suited to informal credit common in small pharmacies

Reports for the owner

  • Daily revenue: sales, cash, credit issued
  • Monthly revenue and trend vs previous month
  • Gross profit (revenue − COGS)
  • Revenue by category and top products by value
  • Wastage from expiry
  • Discount totals and supplier payables

Staff & security

  • Per-user login (no shared accounts)
  • Roles such as Owner/Admin and Cashier/Staff
  • Cashiers limited to selling, returns, and stock quantity—cost and profit stay hidden
  • Fine-grained permissions (discounts, returns, price edits, staff management, etc.)
  • Actions attributed to the staff member who performed them

Setup & operations

  • First-run store setup (name, address, tax defaults, receipt details)
  • English / Urdu UI toggle
  • Designed for offline LAN use; multi-PC on the same shop network
  • Automated database backups with retention (as configured for deployment)
Architecture

How it works

Deploy once per shop; configuration is store-specific, not a rebuild per location.

Server PC

Runs MedStock backend + PostgreSQL; auto-starts with the shop PC

Terminal PCs

Open MedStock in Chrome/Edge — no heavy client install

Network

Shop LAN (wired preferred); internet not required for core use

Database

Local PostgreSQL — your data stays in the pharmacy

Benefits

Why pharmacies choose it

01

Counter stays fast

Search, scan, bill, print — built for busy peak hours.

02

Less money lost to expiry

Batch expiry and early warnings before stock goes dead.

03

Credit under control

Udhaar balances are recorded and reportable, not left in a notebook.

04

Owner sees the real numbers

Revenue, profit, discounts, payables, and stock health without spreadsheet work.

05

Works when the net doesn’t

Offline-first for shops with unreliable connectivity.

06

Staff can’t see what they shouldn’t

Cost and profit locked to owner/admin roles.

07

Easy to roll out again

Same product, new pharmacy via setup — not a custom project every time.
